Aurient by Gold Line Services Inc.

Privacy policy

Takes effect 1 November 2026 · Version 1

Aurient keeps the records of your business: your sales, stock, customers and books. This policy explains what personal information that involves, what we do with it, who else handles it and what you can ask us to do.

In short: we use your information to run Aurient and bill you for it. We don't sell it and we don't show ads. Your business's records belong to you, and you can download them or have them deleted.

1Who we are

Aurient is made and run by Gold Line Services Inc., a company registered in Barbados (“Gold Line”, “we”, “us”). Our address is 10 Enterprise Coast Road, Christ Church, Barbados. You can reach us about privacy at info@goldline-services.com.

2Your data and your business's data

Aurient holds two kinds of personal information, and the law treats them differently:

  • About you as our customer: the people who sign up and use Aurient, and who pay its bills. For this, Gold Line decides how it's used (we are the data controller).
  • About the people in your business's records: your customers, suppliers, staff and drivers, entered by you. Your business decides what goes in and why (you are the controller). We only hold and process it to run Aurient for you, on your instructions (we are the data processor).

If you're one of a business's customers and want your information changed or removed, ask that business first. We'll help them do it.

3What we collect

WhatExamples
AccountYour name, email address and role. Your password is stored only as a one-way scramble; nobody can read it. Two-step sign-in keys are stored sealed.
CompanyBusiness name, country, currency, tax settings, address and VAT number for Aurient bills.
BillingYour Aurient bills and receipts, and how each was paid. Cards are handled by PayPal: we never see or keep a card number. We keep the payer's email and PayPal's transaction number.
Your business recordsWhatever your team enters: customers, suppliers, items, sales, invoices, deliveries, staff PINs, uploaded files and emails sent from Aurient.
Security and useSign-ins (time, device and internet address), which device a shared till is, a history of who changed what (the audit trail), and error reports from the app so we can fix problems.
AssistantThe questions people ask the assistant and its answers (see section 5).

4How we use it

  • To run Aurient: signing you in, keeping your records, printing and emailing your documents.
  • To keep accounts safe: two-step sign-in, spotting unusual sign-ins, the audit trail.
  • To bill you: bills, receipts, reminders, and notices of price changes.
  • To help when you ask, and to find and fix errors.
  • To meet the law, such as keeping VAT records.

We don't sell personal information, we don't use it for advertising, and we don't look through your business's records except to fix a problem you've asked us about or when the law requires it.

5The assistant

When someone in your company asks Aurient's assistant a question, the question and the records it needs to answer it are sent to Google (the Gemini service) to write the answer, under Google's terms for business use of that service. The assistant can only see what that person is allowed to see, and it can never change anything without a person approving it.

An admin can switch the assistant off for the whole company under Admin → Plan and Modules. Then nothing is sent to Google.

6Who else handles it

We use a few service providers to run Aurient. They may only use the information to provide their service to us.

ProviderWhat for
RailwayThe servers and database Aurient runs on
Google (Gemini)The assistant, only when it's used
ResendSending Aurient's emails: bills, receipts, password links, the documents you email
PayPalTaking payments for Aurient bills, and your customers' pay-now links when you connect your own PayPal

We'd also share information if the law requires it, or to protect people from harm. If Gold Line or Aurient is ever sold, the buyer would take on this policy, and we'd tell you first.

7Where it's kept

Aurient's servers are in the United States, and our providers may process information in other countries. When information leaves Barbados, we only use providers who protect it to a standard at least as high as Barbados law requires.

8Cookies and storage

Aurient uses only the cookies it needs to work. There are no advertising or tracking cookies.

NameWhat it doesHow long
Sign-inKeeps you signed inUp to 14 days, less if your company signs idle people out sooner
Shared deviceRemembers that a till or tablet belongs to your company, so staff sign in with a PIN400 days, or until the device is unlinked

Your browser also keeps some things on the device: your screen preferences, unsaved form drafts, and the till's copy of items and prices so it can keep selling without the internet.

9How long we keep it

  • Your account and your business's records stay as long as your company uses Aurient.
  • Closing your company: the person who signed it up can close it under Admin. You can download everything first. After a 7-day wait (when you can change your mind), every record of that company is deleted.
  • Aurient bills, receipts and payments are kept as long as tax law requires Gold Line to keep them, even after a company closes.

10How we protect it

  • Everything travels encrypted (HTTPS).
  • Passwords are scrambled one way; payment and sign-in keys are sealed.
  • Two-step sign-in is required for admins and always on in our own console.
  • Each person sees only what their role allows, and changes are recorded with who made them.
  • Our staff open a customer's records only to fix a problem they've been asked about.

11Your rights

Under the Barbados Data Protection Act, 2019, you can ask us to:

  • tell you what personal information we hold about you, and give you a copy;
  • correct anything that's wrong;
  • delete it, where we don't need to keep it by law;
  • stop using it for a purpose you object to;
  • give it to you in a form you can take elsewhere. Admins can already export their records to Excel.

Write to info@goldline-services.com. We'll answer within 30 days. If you're not happy with our answer, you can complain to the Data Protection Commissioner of Barbados.

12If something goes wrong

If personal information is lost or reached by someone who shouldn't have it, and that puts people at risk, we'll tell the Data Protection Commissioner and the businesses affected without delay, within 72 hours where we can.

13Children

Aurient is for businesses. It isn't meant for anyone under 18, and we don't knowingly collect children's information as our customers.

14Changes

If we change this policy in a way that matters, we'll email each company's admins and show a notice in Aurient at least 30 days before the change takes effect. Each version keeps its date and number at the top.
